Common Errors

  • Following is a list of common errors that are reported within Transaction Pro Importer along with their resolution. In case you don't find your reported error in the list, please copy the error in an email and contact support.
Error How to fix?
Value required. Used by this app to group import lines. This error message conveys that the RefNumber field is a required field. By default, this value is used only for grouping transaction line items by Transactions Pro Importer. IN case corresponding "Let QuickBooks Auto-Assign ..." option is not set, this number is also considered as Transaction Reference Number. This can be changed in the import options.
Invalid line amount specified. This error message conveys that the line amount field value is not recognized to be a valid numeric value.
Invalid date value. Date should be in mm/dd/yyyy format only. This error message conveys that the value in the highlighted field should be a valid date value. Application expects date to be in mm/dd/yyyy format only.
Invalid Account# Specified. This error message conveys that "Enable Account Numbers on Transactions" TPI option is checked. And so the highlighted field is expected to specify account numbers instead of account names.
Entity not found. This error message conveys that the value for the field highlighted in red, could not be matched to any of Customers, Vendors or Employees within QBO.
Name is required. This error message conveys that the value for the field highlighted in red, could not be matched to any of Customers, Vendors or Employees within QBO.
Invalid Account Specified. This error message conveys that the value specified for the field highlighted in red, is supposed to be already existing account name within QBO.
If your import file contains numbers select the COG wheel to access the options screen and select the Transaction Pro Importer Option, Enable Account Numbers. Invalid Vendor Account# specified. This error message conveys that option "Cross reference vendor name with account number on purchase transactions" TPI option is checked. And so the highlighted field is expected to specify Vendor's account number instead of Vendor name.
Invalid Acct# specified. This error message conveys that option "Cross reference vendor name with account number on purchase transactions" TPI option is checked. And so the highlighted field is expected to specify Vendor's account number instead of Vendor name.
Invalid expense tax code specified. This error message conveys that the value in the red highlighted cell could not be matched to an existing tax code within QBO. The value in this field should match exactly to the tax code name defined in QBO.
Invalid unit price specified. This error message conveys that the line unit price field value is not recognized to be a valid numeric value.
Invalid quantity specified. This error message conveys that the line quantity field value is not recognized to be a valid numeric value.
Invalid numeric value. This error message conveys that the field value is not recognized to be a valid numeric value.
Invalid item tax code specified. This error message conveys that the value in the red highlighted cell could not be matched to an existing tax code within QBO. The value in this field should match exactly to the tax code name defined in QBO.
Bill with reference#: '[BillApplyTo field value]' not found. This error message conveys that the bill with DocNumber / Ref# as mentioned in the red highlighted field could not be found in QBO.
Invalid Resale#(Exemption details) specified. This error message conveys that option "Cross reference customer name with Resale#(Exemption details) on sales transactions" TPI option is checked. And so the highlighted field is expected to specify Customer's Resale#(Exemption details) instead of Customer name.
Invoice with reference#: '[InvoiceApplyTo field value]' not found. This error message conveys that the invoice with DocNumber / Ref# as mentioned in the red highlighted field could not be found in QBO.
The currency of the transaction is invalid for customer/vendor/account The given Currency is different than the default currency of the vendor. Please refer the Vendor's Currency in QBO & udpate the same currency in Currency Field.

It is possible that Multi Currency feature in QuickBooks Online could be disabled. Please enable the feature.
Required parameter(s) missing:Line Please provide atleast one Item Line details or Expense Account Line Details to process.
Duplicate Document Number Error : You must specify a different number. This number has already been used. There is an another transaction with the same reference number.Please use the another reference number.

You have disabled "Let QuickBooks auto-assign ...." for your transaction type in Options. By enabling this feature, QBO will automatically assign numbers for the transaction.
Duplicate Name Exists Error: The name supplied already exists. : Another customer, vendor or employee is already using this name. Please use a different name. Remove any spaces around the colons in the values mapped to the QuickBooks field, Line Item.
Duplicate Name Exists Error The name supplied already exists. : Another product or service is already using this name. Please use a different name. This error message conveys that the entity (Customer/Vendor/Employee) referred in the transaction, the name of the same, is used by the entity of some other type in the QBO. Please make sure that the entity name is unique across Customers, Vendors, and Employees already existing in QBO.
Required parameter Line.Amount is missing in the request The Line Item amount is missing for the particualr line item.
Business Validation Error: There is no account associated with the item "XXXXX". Is it marked for purchase, and has an account associated with it? Please assign the Expense Account for Product / Service "XXXXX" in your QuickBooks Online.
Business Validation Error: You must select a customer for each split line that is billable. Please enable the below features in your QuickBooks Online.
  • Track expenses and items by customer
  • Make expenses and items billable
Business Validation Error: You can’t use an Accounts Payable account on the detail portion of a Bill. This message means that you have mapped an account that has an account type of Accounts Payable to the QuickBooks field, ExpensesAccount.
Invalid Reference Id : Something you're trying to use has been made inactive. Check the fields with accounts, customers, items, vendors or employees. This error message conveys that there is an issue with some of the entities referred in the transaction. Following steps will help resolve the issue:
  • Sign out of the application.
  • Close the browser window.
  • Open a fresh browser window.
  • Login back to the application.
  • Try import again.
Invalid Reference Id : Categories cannot be used in transactions. This error message conveys that the field LineItem for the transaction is referring to a Category defined in QBO, instead it should be a valid Product / Service name. In case Product / Service in your QBO are categorized, then specify Full Qualified Name for the same.

E.g. Let's say the item is A:B:C
So if you specifies A:B only as import item, then intuit will throw this error.
So need to specify fully qualified name as A:B:C

Invalid [Some-Value] Name. Click on the 'Import missing entities' tab to import this [Some-Value] This error message conveys that the entity (Item/Account/Customer/Vendor/Location/Class/Sales Term) referred in your transaction by the name [Some-Value], does not exist in QBO and you have "Do not automatically add ..." TPI option set. You either need to uncheck the corresponding "Do not automatically add ..." option OR follow the instructions in the error message.
Error importing tax inclusive amounts to QBO. Intuit API has a known issue with handling tax inclusive amounts. TPI suggests importing tax exclusive amounts only.
Business validation error: Your split account don’t add up to the amount specified. Either change your split amounts or change the total by clicking the recalculate button at the bottom. Within QBO, You must go into that that expense account > check the box to make it billable and then apply an income account.

Click the "Gear" in the upper right hand corner > Under "Settings", click "Chart of Accounts" > and chose the "Expense Account" that created the error > check the box to make it billable and then apply an income account.
TPI showing Invalid account number whereas I have account number present in QBO. Please check the option "Enable Account Number On Transactions", it will resolve the problem.

Error in ReadTextFile Line [line-number] input array is longer than the number of column in the table. The file has to be valid CSV file. The file uploaded, should have column headers defined as first row and the subsequent rows should have values for the columns defined in the header, no extra data values should be present on rows starting second row.
500 error while signing in Intuit. Intuit has indicated that your user id is not valid in their system. See below for how to resolve this issue.
  • Go to https://accounts.intuit.com/account-manager.html
  • Login with your current credentials
  • If you have never verified your email address with Intuit, you will be prompted to do so.
  • Update your First and Last Name
  • Logout of that system
  • Go to http://apps.com
  • Login with your current credentials (same as you used in step 2)
This will fix your account and you should be able to proceed with accessing the page you were not able to before.
The account period has closed. This message is coming from QuickBooks Online and it means that you have closed the accounting period and no changes can be made. For e.g. If you close accounting til 12/31/2015 then no imports before that with that txn date is possible.
I am looking to import just the expense transactions. Is that possible. I cannot see fields that line up with the detailed expense report. Expense transactions have been to be split into following types for which we have defined separate import types so you can use the one you want.
  • Checks
  • Credit Card Charges
  • Credit Card Credits
  • Cash Purchases
Invalid account type: You need to select a different type of account for this transaction. The APAccount field should have account name specified which is of type "Accounts Payable (A/P)" there is a need to use "2000 Accounts Payable" name for the APAccount field and the import should work fine.
Required parameter LinkedTxn is missing in the request. Please provide valid refnumber of an invoice for InvoiceApplyTo field for Receive Payment. It should resolve the problem.
Permission Denied Error
Permission Denied Error: You do not have access rights to use this feature.
The error message suggests that either QuickBooks Online subscription doesn't allow you perform a particular operation on your QBO. OR there is an issue with the access token. In case the issue with the token, following steps will fix the issue:
  • Disconnect from Intuit.
  • Sign Out
  • Login again
  • Connect To QuickBooks (to establish connection with your QBO).
  • Try importing again
The time duration is not in the valid range. You need to map data either to the QB field, Time, or the starttime and endtime fields.
